The Business Roadmap

The 5 Stages of Every Business

Know where you are — and exactly what to focus on next.

1

Before You Start a Business

This is the most overlooked stage. Most people skip it and pay for it later. Before you invest time and money, validate your idea and plan your foundation.

  • Validate your business idea — is there real demand?
  • Research your target market and competition
  • Understand your startup costs and funding needs
  • Define your unique value proposition
  • Build a simple one-page business plan
2

Starting a Business

You've decided to go. Now build the foundation right — the first time. The decisions you make here affect your taxes and liability for years.

  • Choose and register your business entity
  • Open a dedicated business bank account
  • Obtain required licenses and permits
  • Set up basic bookkeeping systems
  • Land your first paying customers
3

Understanding a Business

This is where most business owners get stuck. You're running the business but not truly understanding it. Learn your numbers — and learn to love them.

  • Understand cash flow, revenue, and costs
  • Know your assets, liabilities, and net worth
  • Build a funding plan for growth
  • Create a tax reduction strategy
  • Organize your documents and records
4

Managing & Growing a Business

You're profitable and stable. Now it's time to grow intentionally — not just work harder. Systems, people, and strategy are your focus here.

  • Build systems so the business runs without you
  • Hire and develop the right team
  • Scale marketing and sales profitably
  • Manage growth cash flow carefully
  • Set long-term financial goals
5

Closing a Business

Whether you're selling, retiring, or winding down — this stage deserves as much planning as starting. Done right, it protects your legacy and your family.

  • Plan your exit strategy early
  • Value your business correctly
  • Transfer assets to loved ones efficiently (TAL)
  • Settle all tax obligations properly
  • Wind down or sell with minimal tax impact

🎯 Not Sure Which Stage You're In?

Stage 1

🌱 Before You Start a Business

The most important stage most people skip. Get this right and everything else is easier.

The 5 Things to Do Before You Launch

1

Validate Your Idea

Before spending a dollar, confirm people will actually pay for what you're selling. Talk to at least 10 potential customers. Ask if they'd pay — and how much.

2

Research the Market

Who are your competitors? What do they charge? What do customers complain about? The answers tell you exactly where your opportunity is.

3

Know Your Startup Costs

List every expense you'll have before your first dollar of revenue comes in. Add 25% as a buffer. If you can't fund it, you need a plan before you start.

4

Choose the Right Business Structure

Sole proprietor, LLC, S-Corp — your choice affects your taxes and legal liability from day one. Get this right before you spend anything.

5

Write a One-Page Business Plan

You don't need 40 pages. You need one page that answers: What do I sell? Who buys it? How do I reach them? How do I make money? What does it cost to run?

Stage 2

🚀 Starting a Business

You've committed. Now build the foundation right — the first time.

Your 5-Step Launch Checklist

🏛️

1. Register Your Entity

File your LLC or corporation with your state. Get your EIN from the IRS (free at irs.gov). This takes less than 1 hour and protects you personally.

🏦

2. Open a Business Bank Account

Never mix personal and business money. Open a dedicated business checking account the same week you register. This one step makes everything cleaner and simpler.

📋

3. Get Your Licenses & Permits

Check your city, county, and state requirements. Most businesses need a basic business license. Some need industry-specific permits. Don't skip this.

📒

4. Set Up Basic Bookkeeping

Use simple accounting software (QuickBooks, Wave, or FreshBooks). Record every dollar in and every dollar out from day one. You'll thank yourself at tax time.

🤝

5. Get Your First Customers

Revenue is proof of concept. Focus all energy on landing your first 3–5 paying customers before anything else. Not the website. Not the logo. Customers first.

Stage 3

📊 Understanding a Business

10 core concepts every business owner must understand — explained simply.

💵

1. Cash Flow Management

Money in vs. money out. The #1 cause of business failure. Master this above all else.

📈

2. Revenue Management Plan

Know where every dollar of revenue comes from. Diversify it. Grow it strategically. Never depend on one client for more than 20% of income.

✂️

3. Cost Management Plan

Fixed costs vs. variable costs. Know the difference. Control what you can. Eliminate what you don't need. Audit expenses quarterly.

🏗️

4. Assets

Everything your business owns: cash, equipment, inventory, receivables, property. Protect your assets. Know their value. Use them strategically.

⚖️

5. Liabilities

Everything your business owes: loans, credit cards, accounts payable, taxes due. Manage debt carefully. Know your total liability at all times.

💰

6. Funding Business Plan

How will you fund growth? Self-fund, bank loan, SBA, investors, or grants? Know your options. Have a funding strategy before you need it urgently.

📉

7. Tax Reduction Plan

Legal tax reduction is one of the highest-ROI activities in business. Proper entity structure, timing, and deductions can save thousands every year.

🏛️

8. Entity Structure

LLC vs. S-Corp vs. C-Corp. Your structure affects self-employment tax, liability protection, and how you pay yourself. Review it every few years as you grow.

📋

9. Compliance Planning

Licenses, registrations, annual reports, payroll filings — stay current on all of them. Non-compliance creates penalties that kill cash flow fast.

🗂️

10. Documents Organization

Contracts, tax returns, bank statements, insurance policies — organize them now. You need them when it matters most: audits, loans, and emergencies.

Stage 4

📈 Managing & Growing a Business

You're profitable. Now grow intentionally — not just by working harder.

The 5 Growth Levers Every Business Owner Needs

⚙️

1. Build Systems

Document your processes. If your business can't run without you for 2 weeks, you own a job — not a business. Systems = freedom.

👥

2. Build Your Team

Hire for the role your business needs most right now. Hire slow, train well, and don't tolerate consistent underperformance.

📣

3. Scale Marketing

Know your cost to acquire a customer and your customer lifetime value. Then put money into what works — and stop what doesn't.

💵

4. Manage Growth Cash Flow

Growing businesses often run out of cash even while profitable. Sales are up but cash is tight. Plan your growth cash flow 90 days ahead, always.

🎯

5. Set Long-Term Goals

Where do you want this business to be in 3 years? 5 years? Without a destination, every decision feels like a guess. Set goals. Review quarterly.

Stage 5

🏁 Closing a Business

Done right, closing is just the beginning of your next chapter. Done wrong, it's costly.

The 5 Steps to Close or Exit Wisely

1

Start Planning Early

Exit planning should begin 3–5 years before you plan to leave. The earlier you start, the more options you have and the more value you preserve.

2

Value Your Business Correctly

Know what your business is worth before any negotiation. A business valuation protects you from leaving money on the table.

3

Transfer Assets to Loved Ones (TAL)

Transfer assets wisely before closing. The right timing and method can save your family significant costs and protect your estate.

4

Settle All Tax Obligations

Final returns, payroll filings, sales tax — close every open obligation with the IRS and state. Unresolved taxes follow you personally.

5

Formally Dissolve the Entity

File dissolution paperwork with your state. Close business accounts. Cancel licenses. Done correctly, this ends your ongoing filing obligations.

Core Topic

💵 Cash Flow Management

The 5 components of cash flow — and how to master each one.

📌 The Hard Truth

82% of small businesses that fail — fail because of cash flow problems. Not bad products. Not lazy owners. Cash flow. This is the most important thing you will ever learn about your business.

The 5 Components of Cash Flow

1

Beginning Cash Flow

This is the cash balance at the start of your period — your opening bank balance. It's your starting point. Everything flows from here. If you don't know this number, you're flying blind.

📊 Formula: Cash on hand at start of period = Beginning Cash Flow

2

Cash Flow From Operations

The cash generated — or used — by your day-to-day business activities. Sales, collecting receivables, paying suppliers, payroll, rent, utilities. This is the heartbeat of your business. It should always be positive.

📊 Formula: Cash Receipts − Cash Payments for Operations

3

Cash Flow From Financing

Cash from borrowing money or repaying it. Bank loans, SBA loans, line of credit draws, investor capital, owner contributions — and their repayments. Understand how much debt is costing your cash position.

📊 Formula: Cash from Loans & Investments − Repayments & Distributions

4

Cash Flow From Investing

Cash spent on buying long-term assets — equipment, vehicles, property, technology — or cash received from selling them. Investing activities grow your capacity but use cash now to earn more later.

📊 Formula: Proceeds from Asset Sales − Asset Purchases

5

Ending Cash Flow

Your closing cash balance. Beginning Cash + Operations + Financing + Investing = Ending Cash Flow. This is what's in your bank at the end of the period. This number tells you everything about your business health.

📊 Formula: Beginning CF + Operating CF + Financing CF + Investing CF

Cash Flow FAQs

Why am I profitable but always broke? +
Profit is an accounting concept. Cash is what's in your bank. You can show $50,000 profit on paper while being broke because customers haven't paid yet, or you've already pre-paid expenses. This is the profit-cash gap — and it's extremely common.
How much cash reserve should I have? +
Start with 1 month of operating expenses as your immediate goal. Build to 3 months over time. The exact amount depends on your industry, seasonality, and risk tolerance. Never let your reserve drop to zero.
What's the fastest way to improve cash flow today? +
Three moves: (1) Invoice the same day you deliver — every delay is a free loan to your customer. (2) Follow up on every overdue invoice this week. (3) Cancel one subscription or expense you haven't used this month. These three moves can shift your cash position within 30 days.
Should I use a line of credit for cash flow? +
A line of credit is a tool — useful for bridging short-term timing gaps. It's NOT appropriate for covering ongoing losses. If you're consistently cash-flow negative, borrowing delays the problem with interest added. Fix the underlying issue first.
How often should I review my cash flow? +
Weekly at minimum. Many successful small business owners check their cash position every Friday — it takes 15 minutes and prevents most cash crises. Monthly is too late to react in time.
Tax Services

🛡️ Tax Services

Federal. State. Unemployment. Resolution. Abatement. Explained in plain English.

⚠️ Educational Disclaimer

The information on this page is for educational purposes only and does not constitute tax advice. For formal tax services, always work with a licensed tax professional. See our full Disclosures page.

The 5 Tax Areas Every Business Owner Must Understand

🏛️

1. Federal Taxes

Income tax, self-employment tax, and quarterly estimated payments. Know what you owe and when. Underpayment penalties add up fast.

🗺️

2. State Taxes

Most states have income tax, sales tax, and employer taxes. Requirements vary widely by state. Know your state obligations — missing a state filing is surprisingly common and costly.

👷

3. Unemployment Taxes (FUTA/SUTA)

If you have employees, you owe federal and state unemployment taxes. These fund unemployment benefits and are non-negotiable obligations.

🔧

4. Tax Resolution Services

Behind on taxes? Owe the IRS? There are real options: installment agreements, offer in compromise, penalty abatement, and currently-not-collectible status.

💸

5. Penalty Abatement

First-time penalty abatement can remove IRS penalties for taxpayers with a clean prior history. This is an often-overlooked option that can save hundreds or thousands.

Tax Resolution — Step by Step

1

Get Your IRS Transcript

Understand the full picture: total balance owed, penalty breakdown, and your complete filing history. Available free at irs.gov.

2

File All Missing Returns

The IRS will not negotiate with you if returns are missing. Get current on all filings first — this is non-negotiable.

3

Evaluate Your Options

Based on your income, assets, and balance owed — determine the best resolution path for your specific situation.

4

Submit Your Resolution Request

Work with a licensed professional to submit your installment agreement, OIC, or other resolution to the IRS.

5

Stay Compliant Going Forward

File on time. Pay on time. One missed payment can void your agreement. Build systems to stay current permanently.

TAL Program

🏛️ Transferring Assets to Loved Ones

Protect your family. Save attorney costs. Transfer wisely — before it's too late.

⚠️ Educational Disclaimer

TAL information is educational only and does not constitute legal or tax advice. Always consult with qualified legal and tax professionals before making asset transfer decisions. See our Disclosures page.

What Is TAL?

Transfer Assets to Loved Ones

TAL is a proactive strategy to transfer business assets, property, and wealth to your family members while you are alive and in control — rather than leaving it to the courts, probate, or uncertainty.

Done correctly, it can save your family tens of thousands in attorney fees, reduce estate taxes, and ensure your life's work goes exactly where you want it to go.

  • Protects assets from probate court delays
  • Can significantly reduce attorney and court costs
  • Keeps your family out of legal disputes
  • Preserves more of your wealth for loved ones
  • Gives you peace of mind while you're still here
🏛️TAL Diagram HereAdd infographic or image

The 5 TAL Concepts to Understand

📋

1. Pre-Estate Planning

Estate planning before a health event gives you full control over decisions. Waiting until a crisis limits your options dramatically.

💰

2. Saves Attorney Costs

A proper transfer strategy can save your family $10,000–$50,000+ in probate attorney fees. The earlier you plan, the more you save.

🤝

3. Gifting Strategies

The IRS allows annual tax-free gifts up to a set limit per recipient. Used strategically over time, this transfers significant wealth with zero tax.

🏠

4. Business Succession

Who takes over your business when you step away? A documented succession plan protects your business value and your family's income.

📄

5. Key Documents Needed

Will, trust, power of attorney, healthcare directive, and business succession agreement. Every business owner needs all five.

💡 Tips & Tricks

Fast, practical moves — 5 per category — you can act on today.

Top 5 Cash Flow Tips

Try one this week. You'll feel the difference.

Cash Tip #1

Invoice the Same Day You Deliver

Every day between delivery and invoice is a free loan to your customer. Send the invoice the moment work is done.

Cash Tip #2

Do a "Cash Friday" Review Every Week

Every Friday: what came in? What goes out next week? What do I need to collect? 15 minutes. Prevents most cash crises.

Cash Tip #3

Separate Business and Personal Money

If they're in the same account, you cannot see your business clearly. Open a dedicated business account this week — it's free.

Cash Tip #4

Audit Subscriptions Right Now

Scroll 60 days of bank statements. Circle every recurring charge. Cancel what you haven't used. Most owners find $200–$800/month in waste.

Cash Tip #5

Know Your Break-Even Number

Total monthly fixed expenses = your break-even. Every dollar above it is profit. Every dollar below it is loss. Know this cold.

Top 5 Pricing Tips

Most business owners undercharge. Stop.

Pricing Tip #1

Raise Your Price 10% This Month

Most customers won't leave over 10%. But the revenue impact is significant. If you haven't raised prices in 2 years — you're behind inflation.

Pricing Tip #2

Calculate Your True Hourly Rate

Annual profit ÷ hours worked = your real hourly rate. Most business owners are shocked. If it's low, your pricing needs work.

Pricing Tip #3

Offer 3 Tiers — Not One Price

Basic, Standard, Premium. Most customers choose the middle. This alone can raise your average sale by 20–40%.

Pricing Tip #4

Price for Value — Not Just Cost

What is the outcome worth to the customer? Price closer to that than to your cost. You're selling transformation, not time.

Pricing Tip #5

Review Prices Every 6 Months

Costs go up. Your prices should too. Set a reminder today. Review every January and July. No exceptions.

Top 5 Tax Tips

Reduce your burden — legally — all year long.

Tax Tip #1

Set Aside 25–30% of Every Payment

Every time money hits your account, move 25–30% to a "Tax Reserve" savings account. When taxes are due, the money is already there.

Tax Tip #2

Track Business Mileage from Day 1

Every business mile is deductible. Use an app (MileIQ is free). The deduction adds up fast — and most owners leave it on the table.

Tax Tip #3

Pay Quarterly Estimated Taxes

Self-employed? You owe estimated taxes 4 times a year. Miss them and you pay underpayment penalties on top of the tax owed.

Tax Tip #4

Review Your Entity Structure Annually

As your income grows, your entity type may no longer be optimal. An S-Corp election at the right time can save thousands per year.

Tax Tip #5

Never Ignore an IRS Letter

Every letter has a deadline. Open it. Read it. Respond or call a professional. Ignoring it always makes it worse.
